Legal Administrative Assistant

Our Greenway Plaza-area client needs a Legal Administrative Assistant to assist with the timely and orderly preparation of documents, contracts, and government filings, to attend and prepare for Board meetings, and to assist the managing attorney with all business related to their District.


• Keep District/meeting files organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into shared database (ProLaw) and communicating status of pending work with the assigned attorney for the District
• Keep Directors and consultants informed, as necessary, regarding pending District issues, including processing and routing of District/Director mail
• Support day to day District management and Board meeting preparation by preparing documents for attorney review and District business and meetings, including agendas, minutes, draft agreements, orders, resolutions and filings in accordance with established ABHR procedures
• Attend Board meetings, draft minutes of the Board meetings, assist Directors with distribution and review of documents before, during and after meetings and process documents prepared for Board execution during and after Board meetings, including recording and filing with government agencies, as necessary
• Offer District/attorney support, as directed and as necessary, for annexations, creation of Districts, real estate conveyances, District elections, and municipal bond sales
• Work with records department to ensure that all District documents are appropriately filed in the electronic filing system
• Respond to (or coordinate responses from other consultants regarding) inquiries from residents, consultants, government agencies
• Report hours worked on an accurate and timely basis
• All other duties as assigned
Job Skills and Qualifications
• Bachelor’s degree REQUIRED (English, Journalism, Legal Studies preferred)
• 5-7 years professional, preferably related, work environment
• Strong oral and written communication skills
• Strong administrative skills, including organization, planning, dependability
• Must have strong research skills and be resourceful
• Proficiency in Microsoft Office;
• Ability to meet deadlines with a strict attention to detail;
• Ability to think clearly and respond effectively under pressure
• Ability to communicate with a variety of people, effectively maintain client relationships and maintain the strictest client confidentiality when necessary
• Must be a team player
• Ability to work independently on multiple projects
