Our legal client is seeking an experienced Legal Secretary/Receptionist to assist the Legal Team and Office Manager. The ideal candidate must have solid written and verbal communication skills, high proficiency in Microsoft Office, as well as experience with electronic filing. These skills will assist in performing the following duties:

  • Primary secretary to a group of attorneys and legal assistants, with heavy focus on Contract documentation
  • Provide typing, word processing, and document management support for all Austin personnel
  • Assist Attorneys and Legal Assistants with administrative preparation of meetings
  • Handle miscellaneous secretarial requests
  • Maintain attorney reading and working files
  • Assist with scheduling meetings and conference calls for all Austin personnel
  • Create and manage expense reports/files for Austin office
  • Create PowerPoint presentations for attorneys, upon request
  • Enter time and mileage into the software for Attorneys
  • Print out, copy, fax and scan documents
  • Greeting guests and answer phones
  • Assist with organization of office, conference room and kitchen as needed
  • Process mail, deliveries and incoming packages
  • Send account payable invoices to Houston Office Manager
  • Assist with preparation and delivery of project items, inventory of supplies, parking management, and calendar management
  • Provide support to the Office Manager with office events/meetings including assistance with guest- lists, invitation mail-outs, restaurant/food coordination and assembly of supplies/materials

Between 4-6 years of legal secretary or administrative experience is required.
