Executive Assistant to CEO
A strong, dynamic Executive Assistant to the CEO is needed for our healthcare client near Downtown Houston. This is a robust leader role that provides high-level administrative support to multiple departments while working closely with Human Resources. The ideal candidate must be self-motivating, focused, and have strong analytical skills to thrive in a demanding, fast-paced environment.
Primary responsibilities involve the following:
- Proactively manage the CEO’s schedule and act as the direct right hand man.
- Prepare and facilitate strategic meetings with the executive team, customers, advisors, investors and other partners. Support the CEO in his preparation for these meetings.
- Answer phone inquiries, direct calls, and provide basic company information.
- Perform clerical duties, take memos, maintain files, and organize documents. Photocopy, fax, collate, etc., as needed.
- Arrange travel, accommodation, itineraries, and all correspondence related to travel arrangements as needed.
- Plan/organize and implement events such as meetings, business luncheons, client dinners, company events, employee team-building activities and special projects.
- Prepare reports, presentations, and data, as well as maintain files, records, and correspondence for meetings.
- Participate in the development of the company’s strategy.
- Oversee legal matters with the support of outside counsel.
- Provide management direction and counseling.
- Recruit and conduct new employee orientations.
- Prepare employee separation notices and related documentation, and conduct exit interviews to determine reasons behind separations.
- Establish contracts with outside suppliers to provide employee services, such as temporary employees, search firms, or relocation services.
- Prepare reports, presentations, and data, as well as maintain files, records, and correspondence for meetings.
A minimum of 5 years’ experience as an Executive Assistant is required with a bachelor’s degree. Prior experience in healthcare and HR is preferred, but not mandatory. Strong proficiency in Microsoft office is essential, along with being tech savvy, ability to multi-task, and manage your time well.
